Privacy notice
This notice explains how Marlow United Juniors FC (“the club”, “we”, “us”) collects, uses and protects personal data when you or your child take part in our training sessions, tournaments and other activities.
Who we are
Marlow United Juniors FC is a volunteer-run grassroots football club based at Bisham Abbey National Sports Centre, Marlow Road, Bisham, SL7 1RR. We are the “data controller” for personal data we collect about members and parents/carers under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

What data we collect
Depending on how you interact with the club, we may hold:
- Player details — name, date of birth, age group and any relevant medical or accessibility information you choose to share with us.
- Parent/carer details — name, email address, phone number and emergency contact information.
- Attendance and payment records for the £6 pay-as-you-go training sessions.
- Tournament entry information from team managers entering squads, including squad lists where provided.
- Photo and video consent preferences, and any photos or video taken at sessions, matches or tournaments where consent has been given.
- Correspondence you send us by email or messaging app.
Why we use it and our lawful basis
We use personal data for the following purposes, relying on the UK GDPR lawful bases shown:
- Running training sessions and tournaments — organising age groups, coaching, registers, fixtures and prizes (legitimate interests; performance of an arrangement with you).
- Communicating with members — session reminders, weather cancellations, kick-off times, tournament updates (legitimate interests).
- Safeguarding — keeping children and adults at risk safe in line with FA guidance (legal obligation; legitimate interests).
- Photos and video — promoting the club on the website and social media (consent — you can withdraw it at any time).
- Finances — recording session payments and paying our coaches (legitimate interests; legal obligation for accounting records).
Who we share it with
We share personal data only where we need to:
- Spond— we use Spond to manage memberships and communications. Joining the club’s Spond group is by private invite. Spond is operated by Spond AS in Norway; see their privacy policy.
- Fab Academy — our coaching partner, who runs the Saturday sessions and needs the minimum information required to coach safely.
- The Football Association and affiliated bodies, where we are required to share information for safeguarding, registration or competition reasons.
- Service providers who host the website or help us run events, under appropriate contracts.
We do not sell personal data and we do not share it for third-party marketing.
How long we keep it
We keep member and parent/carer data for as long as a player is active in the club, plus a short period afterwards in case of follow-up queries. Safeguarding records are kept for the periods required by FA guidance. Financial records are kept for at least six full tax years as required by HMRC.
Photos used for marketing the club may remain on the website or social media after a player has left, unless you ask us to remove them.
Children's data
Most members are under 18. Where consent is the lawful basis for processing a child’s data (for example, photo consent), we ask the parent or carer to give that consent. Children and parents can withdraw consent at any time by emailing us.
Your rights
Under UK GDPR you have the right to ask us to:
- give you a copy of the personal data we hold about you;
- correct anything that is inaccurate or out of date;
- delete your data, where we no longer need it;
- restrict or object to how we use it;
- where the lawful basis is consent, withdraw that consent.

If you are unhappy with how we have handled your data you can complain to the Information Commissioner’s Office at ico.org.uk. We’d appreciate the chance to put things right first.
Cookies and the website
This website does not use advertising cookies or third-party analytics. The only cookies set are those strictly necessary for the site to load and display correctly. We do not track visitors between sites.
The site is hosted on Cloudflare Pages. Cloudflare may collect limited request data (such as IP address and user agent) to protect the site from abuse — see Cloudflare’s privacy policy.

We’ll update this page if anything material changes. The “last updated” date at the top tells you when it was last reviewed.
